This presentation shows all notes on a file, beginning with the most recent. Each note has a subject and body, and may have a bring-forward date and supporting documentation (the button will show the document count).
Adding and Maintaining Notes
Select the add button to put a new note on a file. Setting a bring-forward date will put a reminder on your to-do list on that date, along with a link to the individual or organization file. Supporting documentation can be included in the form of attached documents. You must use the Save button after adding or changing a note; you can only change or remove notes that were saved by you.
Procedures for the Use of Notes
Notes on individual files are subject to the Freedom of Information and Protection of Privacy act, and as such can be viewed by the individual upon request (along with all other contents of their files), and should be written with this disclosure in mind. They should be factual and objective, and must not contain any abuse or discriminatory language.
Notes are an excellent tool for communication among Customer Service personnel, and should be used to record any significant interaction with the individual or with representatives of the organization. Complete and detailed notes will help to establish continuity across service personnel, and can significantly improve the overall quality of customer service.
Some functions (e.g. challenger registration and assessment) may incorporate the use of notes and attachments in the procedures – those procedures should be referenced for guidance as to the details required in the note and and the supporting documentation that should be attached.
