Presents the identification and contact details of an organization that is registered on Direct Access. Only the organization’s primary contact can make changes to this information.
Organization ID
This is a unique identifier assigned to the organization by the ITA. Official ITA forms will ask for this ID number, and it can be used to quickly identify the organization when speaking to ITA Customer Service. Give this number to your new apprentices to allow them to complete their registrations using Direct Access.
Organization Type
Organizations in Direct Access can be of type Sponsor, Training Provider, School District or Industry Training Organization (ITO). Individuals registered as a Contact to an organization will have a specific level of access depending on the type. If an individual is registered as a contact to multiple organizations, and/or to organizations of different type, their access privileges will be the sum of all their organizational Contact relationships.
Organization Name
This is the organization’s official legal name, or DBA (doing business as) alias. If the organization name has changed, one of the company Contacts must notify ITA Customer Service in writing to update the file with the new name.
Preferred Channel of Communication
Determines how the organization will receive notifications through Direct Access.
- Mail will use the mailing address displayed here, to the attention of the primary contact
- Email will use the Organization Email Address
- Primary Contact will use the email address on the personal file of the individual designated as the organization’s primary contact
- No Valid Channel indicates that our records are not current, and no notifications will be sent.
Tips for Use
Choose the Preferred Channel and organization Email address so that notifications go directly to the person who should be using them.
- Small sponsors may set their Preferred Channel to ‘Primary Contact’ so that all notifications are sent to the personal email address of the proprietor, owner, general manager or principal of the sponsor. They could also set the Preferred Channel to ‘Email’ and enter their company email address.
- Mid-sized sponsors may set the Preferred Channel to ‘Email’ and enter an email address for the person who administers apprenticeship (i.e. someone other than the Primary Contact)
- Large sponsors often use a shared email address (e.g. apprenticeships@sponsorco.com) that can be accessed by several different people.
Note that regardless of where notifications are sent, it is only the Primary Contact that can ‘sign off’ on new apprentices registering with your sponsor organization. If notifications are being sent to someone else, be sure to forward registration reminder notifications to the Primary Contact so that they can take timely action on these registrations.
