This screen allows the user to specify two Individual records and merge them into one.
- User selects Source Individual using lookup on Individual ID. This is the Individual record which will no longer be used.
- User selects Target Individual using lookup on Individual ID. This is the Individual record which should be kept and continued to be used. Note that the ID links open new windows where the Individual details can be edited without navigating away from the Job.
- User updates Individual information (‘Details’ tab) on Target Individual, if necessary. Only the contact info on the target individual will be kept.
- User clicks Perform Merge button to complete the merge. The system will either complete the merge with a success message, or display an error message if a bad data condition exists. (see below)
Screen Rules/Conditions
The following conditions will prevent the merge from proceeding and result in an error specific to the condition that is preventing the merge:
- The Source and Target individuals are the same.
- One of individuals is deceased or has a status of ‘Merged’.
- Source individual has organizations (e.g. is staff of a sponsor, training provider or ITO).
- Active or pre-active registration with a completed registration in the same program.
- Active or pre-active registration with a valid certification from the same program.
- Active youth programs without an active apprenticeship in the same trade (pre-existing invalid condition).
- Active or pre-active apprenticeship with an active challenge or equivalency in the same trade.
- Identical valid certifications (same catalogue item).
- Duplicate course results (same catalogue item and end date).
- Duplicate exam results (same catalogue item and exam date).
- Duplicate document assessment results (same catalogue item and date reviewed).
- Duplicate competency results (same catalogue item and date assessed).
- Invalid WBT conditions, as already exists on update of the WBTH results entry.
Upon completion of the merge, the Source Individual will be flagged as ‘Merged’ and the associated Individual and user will be deactivated. The record will become read-only to all; nothing can be changed including the ‘Merged’ status. A merged Individual cannot be reactivated.
